Hire a facilitator to help move the process more efficiently and offer a neutral approach and working ground.
Collaboration is key to this planning- this entire process is a team building exercise.
It is important to have a concise agenda and clear goals for all meetings.
Prior to the end of each meeting, establish focus areas/topics for next meeting.
Planning work groups intersect and are dependent upon each others results.
The plan is the process … and the process is the plan.
Planning should also address the component of “Pre-activation” and “Deactivation.”
Always keep in mind the functionality of the Plan – such as a Grab & Go kit.
Have the right people at the table.
One identified project manager and/or a liaison who serves on every Work Group for consistency.
Maintain an ongoing Parking Lot of issues to revisit – many will emerge through the planning process and it is easy to get sidetracked. Begin with the key, overarching elements.
Funding and resources are over-arching topics to be considered.
Be aware of business continuity and workforce activation planning intersections.
Exercises and drills will help drive the completion of the structure and effect the plan.
Be responsive to the issues that emerge from the stakeholders.
